Why your condition report matters more than you think

Starting a new tenancy is always exciting, but before you move in and start unpacking, there’s one important step you shouldn’t overlook,  your condition report.

This document plays a key role in protecting both tenants and landlords throughout a lease, and taking the time to review and complete it properly can save a lot of hassle later on.

What is a condition report, anyway?

When you sign a residential lease, you’ll be given a condition report alongside your tenancy agreement. This report records the state of the property at the time you move in, from carpets and walls to appliances, fixtures and fittings, and even the outdoor areas.

It should include detailed comments and photographs taken by your property manager or landlord, showing the property’s condition at the start of your tenancy.

Inspect before you unpack

Before you start moving in your furniture, take the time to walk through the property with your condition report in hand. Look closely at each room and check whether the photos and comments in the report match what you see.

If you notice anything that hasn’t been recorded, like marks on walls, chipped tiles, damaged fittings or areas that need cleaning, make sure to write it down and, where possible, take your own photos as evidence.

Be thorough, inside and out

It’s easy to focus on the main living areas, but don’t forget the rest of the property. Check the condition of the laundry, garage, gardens, fences, and any outdoor features. If you’re responsible for lawn care or water usage, now’s a good time to take initial meter readings and note the state of the garden.

Photos speak louder than words

If you’re completing the report electronically, many platforms require you to upload your own images for any edits you make. Be sure to clearly photograph anything you’re noting, it’ll help avoid disputes when it’s time to move out.

Return it on time

Condition reports usually come with a deadline, often within 7 days, to review and return the document. Don’t miss this window. Submitting your updates in time ensures your observations are recorded, and gives your property manager a chance to follow up if needed (especially where repairs might be required).

It protects you at the end of your lease

This report isn’t just paperwork, it’s the reference point when you move out. It helps determine what’s considered normal wear and tear, and what might fall under damage or missed cleaning. Having your input included from day one ensures everything is on record.
